Is this for you?

Who email & crm automation is built for

If one of these sounds like your week, the service below was designed around it.

You send a newsletter when someone remembers, which is never

A list you email once a quarter forgets you. A fixed calendar of 4 to 8 campaigns a month, written and designed for you, turns contacts you already own into repeat orders and renewals at a cost per send close to zero.

Leads go into a spreadsheet and nobody follows up after the first call

Most B2B and high-ticket leads convert on the fourth to eighth touch, not the first. A CRM with a pipeline, tasks and automated nurture emails means every lead gets followed up on the schedule you set, whether or not the salesperson is busy.

You bought HubSpot or Zoho and use 10 percent of it

CRMs are sold on features and abandoned on setup. Pipeline stages, field hygiene, lead scoring, sequences and reports need someone to design them for your sales process and keep them working. We administer the tool so your team just uses it.

What's included

Everything the engagement covers, in writing

No vague 'digital marketing activities'. This is the deliverables list that goes into your scope document.

Deliverability foundation

SPF, DKIM and DMARC records set up and verified on your sending domain, a dedicated sending subdomain where volume justifies it, and a warm-up schedule for new domains so the first campaigns land in the inbox rather than spam.

Campaign copy and design

Four or eight campaigns per month depending on plan, each with subject line options, preview text, mobile-first design in your brand system and a single clear call to action. Every campaign is approved by you before it is scheduled.

Lifecycle flows

Automated welcome, abandonment and win-back sequences (1, 3 or 6-plus flows by plan) built in your tool with timing, branching and exit rules documented, then reviewed monthly for drop-off and rewritten when a step stops earning its place.

Segmentation and lead scoring

Lists split by source, behaviour, purchase recency and engagement so nobody receives an offer meant for someone else. Lead scores on the Automate plan and up, so sales calls the contacts who opened, clicked and visited pricing first.

CRM setup and administration

Zoho CRM or HubSpot pipeline stages, required fields, deal properties, forms, task automation and user permissions set up for your sales process, then maintained month to month as the process changes. Licences are paid by you, direct to the vendor.

List hygiene

Bounces removed after every send, contacts who have not opened in 90 to 180 days moved to a re-engagement flow and then suppressed, and double opt-in where the law or your deliverability requires it. A smaller, cleaner list beats a large dead one.

Testing with a written result

Subject-line A/B tests on the Automate plan and up, with send-time and content tests added on Lifecycle. Every test has a hypothesis, a sample size and a logged winner, so the next month's calendar is built on evidence rather than taste.

Multi-channel orchestration

On the Lifecycle plan, email, WhatsApp and SMS steps run from one automation platform with shared suppression rules, so a customer who replied on WhatsApp is not chased by email the same afternoon.

Reporting that ties to revenue

Open, click, reply, unsubscribe and complaint rates per campaign and per flow, plus attributed orders or pipeline created where your CRM or store allows it. Monthly on Nurture, fortnightly on Automate, weekly dashboard on Lifecycle.

How much does email marketing and CRM automation cost in India in 2026?

Two costs matter: the software and the people. On the software side, Mailchimp starts at about ₹770 to ₹1,150 per month for small lists, Zoho Campaigns is free up to 2,000 contacts, HubSpot Marketing Hub Starter is about $20 per seat per month and Professional about $890 per month, and Zoho Marketing Automation runs roughly $19 to $59 per 1,000 contacts. Every one of these is paid by you to the vendor from your own account, so the tool, the data and the sending reputation stay yours whatever happens with the agency.

On the people side, Indian agency retainers for email marketing range from ₹12,000 to ₹1,50,000 per month, with most small and mid-sized programmes landing between ₹15,000 and ₹50,000. Copy alone is typically ₹1,000 to ₹3,000 per email. Mediaverse Digital charges ₹20,000 per month (about $400) for 4 campaigns and one maintained flow, ₹40,000 for 8 campaigns, 3 flows and CRM administration, and ₹75,000 for full lifecycle across email, WhatsApp and SMS with HubSpot Professional or Zoho Marketing Automation administration.

CRM implementation is a separate one-time project from ₹60,000 (about $1,200), scoped in writing after we map your sales process. That covers pipeline design, migration from spreadsheets or an old CRM, automation, forms, reports and training. The licence is extra and paid to Zoho or HubSpot directly. A typical small sales team is live on a working CRM within 3 to 4 weeks of sign-off.

  • Tools: Mailchimp from about ₹770 per month, Zoho Campaigns free to 2,000 contacts, HubSpot Starter about $20 per seat
  • Indian agency retainers: ₹12,000 to ₹1,50,000 per month, most between ₹15,000 and ₹50,000
  • Mediaverse Digital: ₹20,000, ₹40,000 or ₹75,000 per month, tool cost in your account
  • CRM implementation: from ₹60,000 one-time, licence extra

Which email automation flows should a business build first?

Automations earn more per hour of setup than campaigns because they run every day without anyone pressing send. The order we recommend is the same for most businesses. First, the welcome flow: 3 emails over 7 days that introduce the brand, deliver whatever was promised at signup and make one offer. Second, the abandonment flow for stores (cart or checkout at 1 hour, 24 hours and 72 hours) or the lead nurture flow for service and B2B businesses (a case for the product, an objection handled, a call booked). Third, the win-back flow for anyone silent for 90 days.

After those three, the returns come from post-purchase and post-service sequences: a review request, a how-to, a cross-sell timed to the product's actual replacement cycle, and a renewal reminder for subscriptions and annual plans. Each flow is documented with its timing, branches and exit rules so your team can read it, and reviewed monthly on the numbers. A flow that has not been touched in a year is a flow that is quietly losing money.

  • Welcome: 3 emails over 7 days, one offer
  • Abandonment (stores) or lead nurture (services and B2B): 3 steps over 3 to 10 days
  • Win-back: triggered at 90 days of silence, then suppression at 180
  • Post-purchase: review, how-to, timed cross-sell or renewal

Why deliverability comes before design

The prettiest email in the world earns nothing from the spam folder. Mailbox providers now require bulk senders to authenticate with SPF, DKIM and DMARC, to offer one-click unsubscribe and to keep spam complaint rates well under 0.3 percent, and they throttle or block domains that do not comply. Most email programmes we audit have one of these missing, usually DMARC, and their open rates have been quietly falling for months without anyone connecting the two.

So the first fortnight of every retainer is spent on the boring part: records verified, a sending subdomain created where volume justifies it, bounces and dead contacts removed, and a warm-up schedule if the domain is new. Only then do campaigns go out. We run this remotely for clients across India and for US, UK and UAE businesses, where the same authentication rules apply, from our base in Bangalore, and the deliverability checklist is shared with you as a document you can hand to your IT team.

Zoho or HubSpot: how we choose a CRM for you

We implement both and are paid the same either way, which is the only honest position for advice. Zoho CRM suits most Indian small and mid-sized businesses: it is priced in rupees, handles GST invoicing through Zoho Books, and its Marketing Automation and Campaigns products cover email and WhatsApp for a fraction of the equivalent HubSpot spend. HubSpot suits companies selling to US, UK or UAE buyers, teams that already live in HubSpot Sales Hub, and businesses whose investors or partners expect HubSpot reporting.

Whichever we pick, the implementation is the same discipline: map the sales process on paper first, define the stages and the fields every deal must carry, migrate clean data rather than everything, automate the handoffs (lead assigned, task created, nurture started, deal marked lost with a reason), and train the team on the two screens they will actually use. The licence and the data are in your account from day one, and the setup document we leave behind is written so another admin could take over.

Process

How an engagement runs

1

Free email and CRM audit

We check your domain authentication, list health, current flows and CRM usage, then write down what we would fix first and what it would cost per month.

2

Foundation fortnight

SPF, DKIM and DMARC verified, list cleaned, sending subdomain and warm-up if needed, tool and CRM accounts confirmed in your name. Weeks 1 to 2.

3

Flows and first campaigns

Welcome, abandonment or nurture, and win-back flows built and documented; the first month's campaign calendar written and approved. Live by week 3 to 4.

4

Monthly cadence

Campaigns shipped on the calendar, flows reviewed on the numbers, tests run with a logged winner, CRM administered as your process changes.

5

Report and adjust

Monthly, fortnightly or weekly reporting by plan, tying opens and clicks to orders or pipeline where the data allows, with next period's calendar attached.

Industries

Where we run email & crm automation most

From the founder

Email and CRM work is where agencies hide the most: a licence marked up, a list nobody cleaned, a flow built once and never opened again. So the rules here are simple. Your tool and your CRM are in your account, paid by you, and I do not take a commission from any vendor. The scope says how many campaigns and flows you get, and the change log shows what we touched and why. I read the deliverability numbers and the monthly report before they go out, and if complaint rates rise the report leads with that, not with the open rate.
